When You'll Be Asked for a W-9
- Before your first payment from a new US client or platform paying you as a contractor
- When you cross $600 in payments from one payer in a calendar year, the threshold that triggers a 1099
- Opening certain bank or brokerage accounts as a business
- Renewing a vendor or contractor relationship where the payer needs to refresh their records
SSN vs. EIN: Which Should You Actually Use?
Both work on a W-9, the form itself doesn't care which one you provide, only that you provide exactly one. The practical difference is exposure: your SSN is tied to your personal identity for life, while an EIN, free and instant to get from the IRS, is a separate number you can use specifically for business purposes. Every client, platform, and vendor that ever asks for a W-9 is one more place your TIN exists on file; freelancers who bill many different clients often get an EIN specifically to avoid handing out their SSN repeatedly. If you're just starting out and only have an SSN, that's completely fine to use, getting an EIN later doesn't require you to redo anything already on file.

✕ What Not to Do
✓ What to Do Instead
✕ What Not to Do
Filling in both SSN and EIN
Form rejected or flagged as incomplete
✓ What to Do Instead
Provide only one TIN, whichever you actually use for tax purposes, not both.
✕ What Not to Do
Wrong tax classification for an LLC
Requester can't determine correct 1099 reporting
✓ What to Do Instead
If you're an LLC, also select how it's taxed (C, S, or P) in addition to checking the LLC box.
✕ What Not to Do
Using a business name that doesn't match your tax return
Mismatch flags with the IRS
✓ What to Do Instead
Line 1 should be the exact name on your tax return; only use the business name field for a genuinely different DBA or entity name.
✕ What Not to Do
Sending a W-9 to the wrong party
Confusion over who has your tax ID on file
✓ What to Do Instead
Only send a completed W-9 directly to the business or platform that requested it, never to a third party.
✕ What Not to Do
Leaving the address outdated
1099 mailed to the wrong address
✓ What to Do Instead
Use your current mailing address, since it's often where the resulting 1099 gets sent.
✕ What Not to Do
Assuming a W-9 reports income to the IRS
Misunderstanding the form's purpose
✓ What to Do Instead
A W-9 only certifies your tax ID; the business reports your actual income separately via Form 1099.

FAQs: W-9 Form Generator
What is a W-9 form used for?
A W-9 (Request for Taxpayer Identification Number and Certification) is how a US business collects your tax ID before paying you as a contractor. They use it to issue you a 1099 at year-end and report your income to the IRS. You don't file it with the IRS yourself, you send it directly to the business that requested it.
Should I use my SSN or an EIN?
Either is valid, but many freelancers prefer an EIN (a free, instant application on the IRS website) specifically to avoid handing out their Social Security number to every client who asks for a W-9. Use whichever you actually have; the form only requires one, not both.
What tax classification should I select if I'm a freelancer?
Most freelancers and independent contractors select "Individual/sole proprietor," unless you've formally registered as an LLC, corporation, or partnership, in which case select that classification instead.
Do I need to sign the W-9 by hand?
A typed or digital signature is generally accepted for a W-9 sent electronically; some clients may still prefer a wet-ink signature on a printed copy. When in doubt, ask whoever requested the form which they need.
Is my Social Security number safe using this tool?
Nothing you type is sent to a server, the PDF is generated entirely in your browser. Unlike the other fields on this and other Taskip tools, your TIN is never saved to local storage either, so it doesn't persist between visits.
Who do I send the completed W-9 to?
Whoever requested it, usually a client or platform paying you as a contractor. You don't file a W-9 with the IRS yourself; the business that collects it uses it to prepare your 1099.
Does a W-9 count as income reporting?
No, a W-9 only provides your tax ID and certifies it's correct. The business that collects it separately reports your income to the IRS via Form 1099 at year-end, based on what they paid you.
Is this generator free to use?
Yes, unlimited generations, no signup, no watermark.
